Turn a pile of screenshots into one readable PDF

Crop each capture down to what matters, add the whole set to PNG to PDF, use the arrow buttons to put them in time order, then choose Match image for reading on screen or A4 or US Letter for printing. Every capture goes in pixel for pixel, so tiny chat text stays as sharp as it looked on your display.

Twenty-three chat captures and a complaint form

Priya's boiler has been broken for three weeks. Every promise from the letting agent sits in a messaging app on her phone, and she has 21 screenshots of that thread, plus two captures of the agent's emails taken on her laptop. The housing complaint form she is filling in tonight allows one attachment, PDF only, no larger than 10 MB.

The caseworker who opens it will read it on a monitor, top to bottom, looking for dates. So the job is not just "make a PDF". It is: keep the messages in the order they were sent, make every timestamp legible, and leave out the other conversations and notifications that happened to be on screen. The rest of this page follows her set from phone to upload.

Prepare the captures before they become pages

Screenshots carry more than you meant to share. Five minutes with the phone's own crop tool saves an awkward conversation later:

Building the PDF in PDFGym

  1. Open PNG to PDF and press Choose images, or drag the captures from a folder onto the page. If a few of them are JPG, use Images to PDF instead, which takes both formats in one run.
  2. Read the list. Each row shows a small preview, the file name and the pixel size, so a capture from the wrong conversation is easy to spot and remove with its cross button.
  3. Use the up and down arrows until the first message of the thread sits on row 1. The order on screen is the page order in the file.
  4. Pick the page size and margins from the table below. For Priya, a caseworker reading on a monitor, that is Match image with no margin.
  5. Press Create PDF. The tool opens the finished file again and checks the page count, page sizes and the pixel dimensions of every embedded capture before it shows the Download button.
  6. Download and rename the file to something the caseworker will understand, such as boiler-messages-oct.pdf.

Nothing is uploaded while this happens. The captures are read and the PDF is written inside the browser tab, so the only upload is the one Priya makes to the complaint form.

Pick a page fit for how the PDF will be read

Page fit by what the screenshot PDF is for
What the PDF is forPage sizeMarginsWhy
Evidence read on a screenMatch imageNoneEach page is exactly one capture, with no white bands to scroll past.
Printed for a meeting or hearingA4 or US LetterStandard (half an inch)Every sheet prints the same size and leaves room for notes or hole punching.
Bug report for a developerMatch imageNonePixel sizes stay obvious, which helps when the problem is a layout glitch.
Mix of phone and laptop capturesA4 or US LetterNarrow (a quarter inch)Tall and wide captures sit on matching sheets; wide ones turn the page landscape.
Very long full-page browser captureMatch imageNoneThe page follows the capture's shape; a fixed sheet would shrink it to a strip.

One thing to expect with Match image: the page is sized from the pixel count at 96 pixels per inch. A phone capture of 1,170 by 2,532 pixels therefore becomes a page about 12 by 26 inches. That looks odd in the document properties but reads perfectly on screen, because viewers zoom to fit. Extremely tall captures are drawn smaller on the page to stay inside the PDF page size limit of 200 inches, while every original pixel stays embedded.

Where screenshot PDFs go wrong

A capture is refused. PNG to PDF accepts PNG only. Some phones and capture apps save screenshots as JPG, so either switch to Images to PDF for the whole set or convert the odd ones out first.

Messages appear out of sequence. Captures from two devices do not interleave by name, and the list keeps the order your system handed the files over. Fix the order with the arrows before you build, or afterwards in Organize pages, where pages can be dragged.

Someone expects to search the text. Words in a screenshot are pixels. The PDF will look right but a search for "boiler" finds nothing, because no text recognition is run. If searchability matters, say so in your covering note or include the original emails as well.

The file is over the upload limit. PNG is lossless and the converter adds no compression, so 23 tall captures can easily pass 10 MB. Run the finished PDF through Compress PDF and pick a target such as 2 MB, or type the exact cap the form gives you.

Transparent corners worry you. They are kept as transparency, not filled with black. Viewers show the blank page behind them, which normally looks white.

When a PDF of captures is the wrong thing to send

If an investigator, a platform's trust team or a lawyer asks for the original screenshot files, send those as well. Originals carry details a PDF page does not, and the person asking may need them to judge whether a capture was altered.

Many messaging apps can export a whole conversation as a file with every timestamp in text form. For a long dispute that is often stronger than a stack of pictures, and it is searchable. For a bug that only shows up while something moves, a short screen recording explains more than ten stills. And when a support desk or ticket system accepts several attachments, adding the PNG files directly is quicker for everyone. For photos rather than screen captures, the photo bundling guide covers camera formats and rotation.

Short answers about screenshot PDFs

Can I fit two or four screenshots on one sheet?
Not while building the file, which always gives each capture its own page. Once the PDF exists, N-up can print several of those pages on one sheet.
Why does my phone screenshot make such a tall page?
Match image sizes each page from the capture's pixels, and phone screens pack a lot of pixels into a narrow, tall strip. Choose A4 or US Letter if the page dimensions themselves need to be normal.
Will the recipient see my notifications or other chats?
Only if they are in the capture. The tool places each image as it is and does not crop anything, so trim the captures on your phone or computer before you add them.
Do I lose sharpness by converting screenshots to PDF?
No. The PNG pixels are embedded without resampling or re-encoding, and the check after building confirms each capture kept its pixel width and height.

Make your screenshot PDF

Your captures stay in this browser tab while the PDF is built, and the result is opened again and checked before the download appears.
