Changing words and numbers on a PDF page

To fix a short piece of text such as a date, an invoice total, or a misspelled surname, use PDFGym's browser editor to strip out the old characters with a white-out box and type new selectable text on top. Because PDF files position characters at fixed coordinates rather than inside flowing paragraphs, multi-sentence rewrites work best when you edit the original source document or convert the text to Word first.

Match the edit method to the change you need

Picture an operations coordinator who has to email supplier-quote-november.pdf to a purchasing director before noon. The four-page quote is ready, except page 1 still lists the old delivery date of 12 November instead of 19 November, and the analyst who exported the file is on leave. Fixing those two digits in place takes under two minutes, whereas inserting a three-sentence warranty clause into page 2 would collide with the table below it.

Check how much wording has to change before you start:

Replacing a word or line in PDFGym

To replace existing characters on one or more pages without uploading the file, follow these steps:

  1. Open Edit PDF and choose your file, such as supplier-quote-november.pdf. It stays inside your browser tab on your device.
  2. Step to the target page and press the + zoom button until the line is easy to frame.
  3. With White out selected, match the White-out colour picker to the paper if the background is tinted, then drag a box over the old text.
  4. Select Add text, click on top of the white-out box, and type the replacement in the right panel (up to 2,000 characters across at most 40 lines).
  5. Choose Helvetica, Times, or Courier, set the size between 6 and 96 pt (body copy is usually 9 to 12 pt), pick a colour, and use Move to align the baseline.
  6. If the PDF has signature fields, confirm the warning checkbox. Press Save edited PDF; the tool reopens the output to verify the covered text is gone and every new line is selectable before offering the download.

Why typing directly into a PDF breaks lines and typefaces

People often expect a PDF to act like a Word draft where pressing Backspace pulls the rest of a sentence left. Inside a PDF, paragraphs and margin rules do not exist. When a program exports a page, it records fixed horizontal and vertical coordinates for each cluster of characters. The file remembers where each letter sits, not which sentence it belongs to.

Three hurdles appear whenever software tries to edit those characters in place:

Mistakes that give away a patched PDF and how to fix them

Covering text with a plain white shape in a viewer. In basic markup tools, a white rectangle is just an annotation over the original characters, so anyone can copy the old price or name underneath. Fix: use the white-out tool in PDFGym, which rebuilds the page from a sharp render without the covered content and keeps only the uncovered words selectable.

Squeezing a long replacement into a short gap. Replacing a four-letter code with twelve characters at 11 pt makes the words overlap. Fix: drop the size by 1 pt, abbreviate, or white out and retype the whole line.

Leaving a bright white patch on tinted paper. A #ffffff box stands out on an off-white scan or coloured header. Fix: match the White-out colour picker to the background shade.

Stripping links or fields when only adding text on blank space. Rebuilding a whited-out page removes links, bookmarks, form fields, and metadata, and can increase file size. Fix: when writing a reference number in an empty margin, use Add text without a white-out box so the original page stays untouched. If a rebuilt file grows large, run it through Compress PDF.

Typing unsupported scripts into standard PDF fonts. Built-in Helvetica, Times, and Courier cover English and Western European Latin letters. Fix: if you enter characters like č, ł, Cyrillic, or Arabic, the editor stops with a message rather than saving question marks. Edit those files in a desktop word processor that embeds a Unicode font.

When to skip browser tools and use another route

Covering and retyping suits quick fixes on pages you cannot regenerate. Another route is better in these cases:

Common questions about changing PDF text

Can someone copy the old words from underneath a white-out in PDFGym?
No. Pages with a white-out are rebuilt from a high-resolution render with the covered area painted over, using the redaction engine. The covered characters are absent from the output and checked before download.
Why did my PDF lose its clickable links or grow larger after I replaced a word?
Removing text under a white-out rebuilds that page from a render, which strips links, bookmarks, form fields, and metadata and stores the page as an image with a selectable text layer. Using Add text without a white-out leaves every page untouched.
How closely can I match the font of the surrounding text?
You can pick Helvetica, Times, or Courier, set any size from 6 to 96 pt, and choose any hex colour. Those match standard office files and invoices, though not custom decorative fonts.
Why does the editor refuse certain accented letters or non-Latin alphabets?
The three built-in PDF fonts cover English and Western European Latin letters. Instead of turning unsupported characters like č, ł, Cyrillic, or Arabic into question marks, the tool stops and alerts you.
