Smallpdf or PDFGym: do you need the subscription?
Smallpdf's free plan rations you with a daily download limit and keeps strong compression, batch work, text editing, and text recognition for paying subscribers. If your work is any of those four things, the subscription is the honest answer; if it is occasional size, order, and cleanup jobs, a browser tab with no counter does them free.
Who should pick which
A freelancer finishes three invoices, january-invoice.pdf through march-invoice.pdf, and each must slip under a 1 MB email cap. Three compressions, once, no account wanted. That errand fits either tool, and the tab finishes it without a login screen.
An office assistant converts supplier scans into Word files twice a week and routes contracts for signature. That is conversion, recognition, and signing on repeat, exactly the ground Smallpdf built its paid tier on. For that week, comparing free rations is beside the point: price the subscription or a desktop editor and move on. The dated plan details below come from Smallpdf's own pricing table as read on 9 September 2026.
Free rations next to no rations
Smallpdf's plan table marks its free core tools with the words daily download limit and prints no number beside it; a Smallpdf guide speaks of 2 compressions a day on a free account (checked 9 September 2026). PDFGym has no equivalent counter because it has no accounts and no paid tier at all.
| Point | Smallpdf free | PDFGym |
|---|---|---|
| Daily counter | Daily download limit, number unstated | No counter, no account, no sign-in |
| Strong compression | Held for the paid tier | Exact kilobyte target, free, four methods |
| Batch work | Batch compress and convert held back | One file at a time, unlimited repeats |
| Text editing and recognition | Editing paid; recognition paid; AI tools limited | Cover and retype only; no recognition |
| File-size ceilings | Stated per tool and plan, up to gigabytes free | Your device memory sets the ceiling |
Where Smallpdf earns its subscription
Four capabilities sit outside PDFGym in their full form: formatted conversion between PDF and Office formats, reading scanned pages, editing text in place, and collecting signatures. Smallpdf's table marks all four, plus batch compress and batch convert, as unavailable on the free plan, with AI tools marked Limited without numbers and the free signing account stopping at two documents a month (checked 9 September 2026). If any of that is your weekly work, this is where the money goes.
On price, Smallpdf's own comparison page put Pro at $9-12 a month and Teams at $7-10 a month per seat (checked 9 September 2026). Expect the exact figure to move with billing period and region, and confirm it before budgeting. The ceilings matter too: its AI tools carried a fifty megabyte file cap on every plan including paid ones, a word ceiling of 25-35k free against 100k paid, and free compression capped per file in gigabytes with Pro removing the cap. Check those numbers against your largest bundle before you rely on any plan.
Where the counter-free tab wins
The compressor takes the recipient's number in kilobytes and runs four local methods against it in the tab, with no stronger mode reserved for subscribers, since no paid tier exists to reserve one for. That is possible because nothing is uploaded: with no per-file server bill, there is nothing to meter. Dozens of files in a row cost the same as one, which is nothing, and no login screen ever appears.
The honest boundary is the tool list: size, page order, rotation and cropping, images both directions, passwords, stamps, redaction, metadata, and repair. Conversion here means PDF pages to images, images to PDF, native PDF text to Markdown, and text-first Office pairs both ways: PDF to Word, Word to PDF, PDF to Excel and Excel to PDF. That covers extraction but not a formatted Word export. Text editing means covering and retyping, plus stamping new text on, and removing means redacting permanently. For the wider compression field, the compressor roundup compares the options, and the iLovePDF comparison shows the same trade in a different suite.
How we checked this page
Every Smallpdf figure here, the daily download limit wording, the held-back features, the Pro and Teams prices, the AI ceilings, and the per-file caps, comes from Smallpdf's own pricing table, guide, and comparison page as read on 9 September 2026. Smallpdf's current pages render in scripts this check could not read, so confirm every number on their site before spending. PDFGym behaviors were taken from the tool pages and code in this project. No compression shootout was run.
Direct questions about Smallpdf and PDFGym
- How many free tasks does Smallpdf allow per day?
- Its pricing table marks free core tools with a daily download limit and prints no number; a Smallpdf guide speaks of 2 compressions a day on a free account. Both checked 9 September 2026. If your month regularly exceeds a couple of files, the counter will find you.
- What does Smallpdf Pro cost?
- Smallpdf's own comparison page put Pro at $9-12 a month and Teams at $7-10 a month per seat, checked 9 September 2026. Confirm the current figure for your billing period and region before budgeting.
- Can PDFGym convert a PDF to Word?
- Partly. PDF to Word turns selectable text into editable DOCX paragraphs, but it does not rebuild tables, images, columns or fonts. Formatted Office export needs Smallpdf Pro or a desktop editor.
- I hit the daily limit halfway through a job. What now?
- Wait for the counter, pay for the month, or split the job: anything that is size, order, rotation, stamps, redaction, or metadata can move to a counter-free tab right now, leaving only formatted conversion and recognition for the subscription.
- Does using PDFGym upload my file?
- No. Every tool runs inside the browser tab and the file never leaves your device. For where Smallpdf processes files, read their current privacy notice rather than taking any comparison page's word for it.
