PDFs at work: Word, Excel, Docs and email

Office work traps words, tables and pages inside PDFs and asks you to free them again. The guides below cover each crossing: PDF to editable Word, PDF pages into Word, Excel and Google Docs, tables into spreadsheets, and files into inboxes. Find your crossing in the table and open its guide.

Which page answers your question?

Picture invoice-march.pdf on your desktop. Your colleague wants its words in Word, your manager wants its pages inside a report, your accountant wants its table in Excel, and the client wants the whole thing by email. Same file, four different jobs, four different pages.

Two crossings deserve a warning before you click. The Word converter rebuilds editable paragraphs from positioned PDF text, so it guesses at reading order and never rebuilds tables, images, columns or fonts: check its preview, especially on designed layouts. And a table trapped in a PDF almost never wants inserting as a picture; pull it into Excel as numbers you can sum instead.

Office mistakes worth avoiding

Converting a scan and expecting words. An image-only scan has no text layer to extract, so the converter refuses it rather than returning an empty file. Try selecting a sentence first; when nothing highlights, the file needs OCR before any conversion.

Inserting a table as a picture. A photographed table preserves the numbers visually and kills them functionally. Extract selectable tables to a spreadsheet instead of embedding dead pixels.

Zipping to shrink. PDF streams are already compressed, so an archive saves almost nothing and hands the recipient an extra step. Shrink to a target size when the file is heavy, and join files when there are too many of them.

Editing the copy instead of the original. Inserted pages freeze on the day you place them and never follow later changes to the PDF. Decide which file is the original before you start, or you will fix the wrong one twice.

Quick answers about PDFs at work

Can I get editable text out of a PDF for free?
Yes, when the PDF holds real selectable text: the browser converter groups it into editable Word paragraphs with a reading-order preview to check. Scanned pages need OCR first, which the converter does not do.
Why does my converted Word file look different from the PDF?
Because a PDF stores positioned text, not paragraphs and styles. The converter rebuilds structure the PDF had thrown away, and guesses hardest on columns, tables and designed layouts.
How do I send two PDFs in one email?
Join them into a single PDF first. One file previews inline in most mail apps and spares the recipient an archive to unpack.
Should I attach the file or send a link?
Attach what must stay exactly as sent, such as invoices and receipts. Link what still moves, such as drafts under negotiation, so nobody reads an outdated copy.
